How to Ask Colleagues for Feedback (With Templates)
Most feedback requests fail for one reason: they arrive as one group message that nobody feels responsible for. A short personal note, a clear deadline and a promise of anonymity usually get answers within a day. Use the templates below as they are, or adapt them.
Five rules that get answers
- Ask people one by one. A personal message gets several times more replies than a group post.
- Say why you are asking and what you will do with it ("I want to get better at running meetings").
- Name the effort: "about 10 minutes". People help when they know the cost.
- Promise anonymity and mean it: use a tool that combines answers so no single response can be identified.
- Give a deadline about a week away and send one friendly reminder two days before.
Templates for colleagues and peers
Email to a peer
Subject: 10 minutes of honest feedback? Hi [Name], I am collecting 360° feedback to see how I can work better with the people around me, and your view matters because we work together on [project]. It takes about 10 minutes, it is anonymous, and you do not need an account: [link] It is open until [date]. Thank you, I really appreciate it. [Your name]
Slack or Teams message
Hi [Name]! Quick favour: I am gathering anonymous 360° feedback to improve how I work. It takes about 10 minutes and needs no account: [link]. Open until [date]. Thanks a lot!
Someone you work with less often
Hi [Name], we have worked together on [topic] a few times, so your outside view would be really useful. I am collecting anonymous feedback (about 10 minutes, no account): [link]. Any comment, even short, helps. Thank you!
Templates for your manager
Email to your manager
Subject: Your view for my development plan Hi [Name], As part of my development I am running a 360° feedback with colleagues, and your perspective would be the most valuable one. It takes about 10 minutes: [link] I would love to go through the results with you in our next one-to-one. Open until [date]. Thanks, [Your name]
In person, then send the link
"I am doing a short 360° feedback to work on [skill]. Could I send you a 10-minute survey? I will share what I learn and what I plan to change." Then send the link the same day.
Templates for your team (upward feedback)
Direct reports worry about honesty upwards. Make anonymity explicit, and tell them what you will do with the results.
Message to your team
Hi team, I want to be a better manager for you, and I can only do that with honest input. I have set up an anonymous 360° feedback: answers are combined into one report, so I will not see who said what. It takes about 10 minutes: [link] Open until [date]. I will share the main themes and what I will change at our [meeting]. Thank you, [Your name]
Reminder and thank-you templates
Friendly reminder (two days before the deadline)
Hi [Name], a gentle reminder about the feedback survey, open until [date]: [link]. If you have already answered, thank you! (It is anonymous, so I cannot tell who has.)
Last day
Hi [Name], the feedback closes tomorrow. If you have 10 minutes today, it would help me a lot: [link]. Thank you!
Thank-you after the results
Thank you to everyone who gave me feedback. Three themes came up: [theme 1], [theme 2], [theme 3]. Over the next months I will focus on [change]. Please tell me if you notice a difference!
Declining gracefully if someone asks you
Thanks for asking. I do not think I have worked with you closely enough to give useful feedback, but [Name] has; you might ask them instead.
Who to ask
- Four to six people who see your work every week give a balanced picture.
- Mix perspectives: two or three peers, your manager, and direct reports if you have them.
- Include at least one person you find harder to work with: that is where blind spots show.
- For anonymity, ask at least three people in each group.
Frequently asked questions
How do you politely ask for feedback?
Ask one person at a time, explain why you want it, say how long it takes, promise anonymity and give a deadline about a week away.
How many people should I ask for 360 feedback?
Four to six people who work with you regularly. In AI360Feedback a full 360° report needs at least 3 colleague responses.
Should I send a reminder?
Yes, one friendly reminder two days before the deadline is normal and expected. Because answers are anonymous, send it to everyone and thank those who already answered.
